The Search Vacation module functions as a core record tracking and time-off management station within the system. It enables human resource personnel to submit individual leave allocations, execute bulk department-wide vacation assignments, and perform detailed historical audits of all employee leave logs.
To access this section, follow these steps: #
- From the Human Resources page.
- From the top navigation menu bar, click HUMAN RESOURCES OPERATIONS.
- Under the EMPLOYEES OPERATIONS column, click Vacations.
- Select the Search Vacation tab from the horizontal sub-navigation layout row.
Data Table View #
Profiles matching active filter parameters display systematically across baseline data verification columns within the ledger interface:
- Attachments: Interactive hyperlinks providing instant document retrieval pathways to audit uploaded files.
- Employee Name: The full registered legal name of the worker.
- Vacation Name: The precise contextual name tag assigned to the leave period.
- Request Date: Logs the official timestamp when the time-off submission was created.
- Identification Number: Displays the worker’s official national identity card or residency registration code.
- Employee Number: The unique system-generated internal corporate index tracking identifier.
- Nationality: Shows the documented citizenship profile.
- Branch: Identifies the assigned corporate facility site location.
- Section: Shows the specific lower-level operational department assignment.
- Job: Identifies the functional role path string.
- Duration: The total registered days spent on the corresponding leave entry.
- Vacation Start Date: Displays the execution start date boundary for the leave period.
- Vacation End Date: Displays the execution end date boundary for the leave period.
- Vacation Type: Indicates the regulatory classification applied to the log row.
- Status: Displays current authorization tracking states (e.g., Pending, Approved, Rejected).
Configuration Workflow #
The module organizes time-off management through three primary command buttons situated above the data grid:
1. Add Request #
Follow these steps to submit an individual leave allocation form modal popup to map precise profile vacation balances:
- Click Add request.
- Choose the target worker profile from the Employee drop-down picker list.
- Select the systemic leave category from the Vacation Type dropdown menu.
- Specify the precise contextual description in the Vacation Name field.
- Review the auto-referenced read-only balance parameters (Annual Balance, Previous Balance, Period Balance, Total Balance, Taken Balance, Paid Balance, and Available Balance).
- Select the timeline boundaries via the Vacation Start Date and Vacation End Date calendar selectors.
- Enter the exact numeric value representing total requested calendar days in the Duration field.
- Input additional administrative justifications or open text remarks in the Notes box.
- Click Choose A File inside the Attachments container box to upload supporting legal files.
- Click Add to commit the individual vacation request directly live to active directories.
2. Vacation to a Group of Employees #
Follow these steps to distribute leave structures across entire company subdivisions concurrently via a multi-profile macro deployment modal popup:
- Click vacation to a group of employees.
- Set the core leave rules and category tags from the Vacation Type and Vacation dropdown select elements.
- Establish boundaries to capture target staff groupings by choosing fields within Branches, Section, Specialization, Management, Specialization Details, Sector, Job Category, Job Level, or Path.
- Search explicitly by name or number in the Employee lookup field to refine or isolate specific personnel from the bulk query.
- Map the calendar timelines for the group’s leave window using the Date From and Date To fields.
- Click Add to process the batch configuration and bind the leave assignment live across all matching employee profiles simultaneously.
3. Search Vacation #
Follow these steps to track and audit registered vacation histories via an advanced multi-parameter database query filter panel popup:
- Click Search Vacation.
- Define operational search metrics within Branches, Section, Status, Specialization, Management, Specialization Details, Sector, Job Level, Path, Employee, or Vacation to narrow your audit rows.
- Isolate records by setting precise baseline boundary periods within the Date Filters matrix (Actual Vacation Start From Date, Actual Vacation Start To Date, Actual Vacation End From Date, Actual Vacation End To Date, Vacation Request Date From, and Vacation Request Date To).
- Click Search to execute the query matrix and refresh the ledger logs.
Grid Operations and Data Export #
The control toolkit located at the top right of the data panel allows you to process information dynamically:
- Search: Type keywords directly into the central search bar to isolate targeted records instantly.
- Export to Excel: Click the Excel icon to download the visible workforce directory into an .xlsx workbook.
- Export to PDF: Click the PDF icon to output a printable document report file containing the filtered registry layout.
- Show/Hide Columns: Click the Database/Eye icon to change column visibility rules on the fly.
Note: Changes made to system settings may affect multiple HR modules. It is recommended that only authorized administrators modify these settings.
