Preparing Contracts Documents and Qualifications

The Preparing Contracts Documents and Qualifications tab under the Basic Data Settings page allows administrators to define, manage, and standardize core personnel parameters related to employee qualifications, institutional training types, official corporate evaluation rules, and operational contract constraints. Through this page, system parameters can be structuralized according to company policies and legal requirements.  

This page serves as a centralized configuration hub to ensure the HR system operates efficiently and aligns with the organization’s policies and operational needs.  

To access this page, follow these steps:  

  1. From Human Resources page.  
  1. Click System Setting. 
  1. Select Basic Data Settings. 
  1. Click Preparing Contracts Documents And Qualifications from the top master tabs. 

Managing the 8 Tabs  #

This section is organized into 8 secondary sub-tabs. Each tab contains a dedicated data grid displaying existing configurations, along with control utilities and row action shortcuts. 

Common Actions for All Tabs  #
  • Add a New Record: Click the green + Add button at the top left to open a pop-up modal. Input the required values, then click Save. 
  • Export to Excel: Click the green Excel icon at the top right of the data panel to download the visible records directly into an .xlsx file sheet. 
  • Export to PDF: Click the green PDF icon adjacent to the search input box to generate a clean, printable document containing active table rows. 
  • Show/Hide Columns: Click the green Database/Eye icon to open a field layout selection menu where checking or unchecking fields dynamically changes table column visibility. 
  • Clear Filter: Click the Create Filter / Clear Filter link found at the bottom left of the grid view to drop active column queries and reset data parameters back to default. 
  • Edit a Record: Click the blue Edit (pencil) icon on the far right of any specific row to alter its fields. 
  • Delete a Record: Click the red Delete (trash bin) icon on the far right of a row to wipe that record permanently from the system database. 

1. Contract Type  #

This tab indexes and defines the legal templates and structural classification frameworks available for employment agreements. 

  • Table Overview: Displays all active hiring and contracting classifications used to establish legal profiles. 
  • Table Columns: 
  • Field Name In Arabic (Contract Type): Displays the contract format label in Arabic (e.g., محدد المدة, غير محدد المدة, عقد عمل). 
  • Field Name In English (Contract Type): Displays the corresponding contract format label in English (e.g., service contract, Contract). 

2. The University  #

This tab catalogues standard regional and global higher education institutions linked to professional employee profile backgrounds. 

  • Table Overview: Displays the structural directory of accredited universities available for recruitment screening. 
  • Table Columns: 
  • Field Name In Arabic (The University): Displays the university name in Arabic (e.g., جامعة القاهرة, جامعة عين شمس, جامعه الملك عبدالعزيز). 
  • Field Name In English (The University): Displays the corresponding university name in English characters. 

3. Certifications  #

This tab documents academic degrees, formal certificates, and specializations held by employees. 

  • Table Overview: Lists educational qualifications that dictate employee data classification. 
  • Table Columns: 
  • Field Name In Arabic (Certifications): Displays the degree title in Arabic (e.g., بكالوريوس هندسة قسم كهرباء, بكالوريوس تجارة شعبة محاسبة, اداب قسم الماني). 
  • Field Name In English (Certifications): Displays the corresponding title in English characters (e.g., BAC, BAC T). 

4. Terms Of The Contract  #

This tab manages specific baseline activation options, legal clauses, and trial conditions bound to employment terms. 

  • Table Overview: Tracks renewal conditions, trial configurations, and contract expiration variables. 
  • Table Columns: 
  • Field Name In Arabic (Terms Of The Contract): Displays the term clause in Arabic (e.g., تجديد العقد تلقائي, عقد تجريبي, عدم التجديد). 
  • Field Name In English (Terms Of The Contract): Displays the corresponding term clause in English (e.g., never be renewed, non renewable). 
  • Details: Displays localized descriptive text explanations defining the operational rules of the clause (e.g., تجربة, تست, عدم تجديد العقد من تلقاء نفسه). 
  • Activation: Features interactive system toggle buttons labeled Active or Stop to dynamically turn specific contract terms on or off. 

5. Documents  #

This tab sets the validation tracking metrics, document categories, and advanced expiration warning parameters for mandatory corporate records. 

  • Table Overview: Catalogs required employee materials, national identifications, and verification files. 
  • Table Columns: 
  • Field Name In Arabic (Documents): Displays the record name in Arabic (e.g., دورة تدريبية, بطاقه شخصيه, جواز سفر, الفيش الجنائي). 
  • Field Name In English (Documents): Displays the record name in English (e.g., national ID, Passport, employee contract, Crime Record). 
  • Document Number: System code indicating internal processing orders or identification classes. 
  • The Number Of Alert Days: Numeric value establishing how many days in advance the system fires automated notifications before document expiry (e.g., 2, 15, 30). 
  • Item Type: Categorizes records under generic platform system umbrellas (e.g., Certificate, Identity, Passport Document, Contract, Other). 

6. Apprisal  #

This tab defines performance tiers, operational evaluations, and evaluation parameters linked to jobs. 

  • Table Overview: Shows structural review criteria and target scores mapped to employment classes. 
  • Table Columns: 
  • Field Name In Arabic (Apprisal): Displays the evaluation ranking value in Arabic (e.g., جيد جدا, امتياز, مظهر عام, ممتاز). 
  • Field Name In English (Apprisal): Displays the corresponding evaluation ranking value in English characters (e.g., Very Good, EXCELENT). 
  • Degree: Numeric entry setting baseline cutoffs or performance metrics (e.g., 70, 80, 90). 
  • Job: Isolates specific corporate job brackets bound to these evaluation parameters (e.g., فئة وظيفية, مقيم تأمينات, أجير, All). 

7. Grades  #

This tab sets generic educational or corporate final structural ratings. 

  • Table Overview: Catalogs standard final review scores or overall tier grades. 
  • Table Columns: 
  • Field Name In Arabic (Grades): Displays the grade entry label in Arabic (e.g., جيد جدا, جيد, مقبول, امتياز). 
  • Field Name In English (Grades): Displays the corresponding grade entry label in English characters (e.g., Very Good, Good, Pass). 

8. Training Type  #

This tab indexes different organizational personal growth tracks and educational structures provided to staff. 

  • Table Overview: Catalogs professional development programs and session types managed inside the module. 
  • Table Columns: 
  • Field Name In Arabic (Training Type): Displays the training description in Arabic (e.g., ملتقى, دورة تدريبية, ورشة عمل, ندوة تعليمية). 
  • Field Name In English (Training Type): Displays the corresponding training description in English characters (e.g., Forum, Training Course, Workshop, symposium).
